Set up DOOH as an admin

As an administrator, you can set up and manage DOOH in the IXM Platform. Once you've done this, you can also give other users access to DOOH features, for example, to create DOOH bookings.

Enable DOOH for users and permission groups
Set DOOH system parameters
Use the DOOH system parameters to specify how the DOOH module works. For example, you can specify which languages the company uses, which currency applies, and create evaluation parameters for products.
To set DOOH system parameters, perform the following steps:
- In the IXM Platform, go to Administration > DOOH > DOOH system parameters.
Specify DOOH system parameters
- Specify the following settings:
Trigger calculation | Click to recalculate the DOOH booking airtime chart via a database structure set up in the background. Data is generally recalculated after you've added or changed locations and products. Note that the recalculation can take a few minutes. |
Company name | Enter the name of the company. This name appears on forms and reports. |
Languages | Select the languages that the company uses from the dropdown menu. To add a new language, click + and select the language from the combo box. By default, your local language and English are selected. The system supports forms in multiple languages. You can select a language for each client if you want them to receive offers in their local language. However, you must set up offer and order confirmation forms for each language. |
Enable analog ad spaces | Select to enable analog ad spaces. |
Select to automatically generate a short name for each product from the short name of its product group. The system adds a consecutive number to the name by default. If you don't select this option, you must specify a short name for each product you create. | |
Evaluation parameters (products) | Specify evaluation parameters to group different products for reporting. To add a parameter, click + and enter a name for the parameter. You can later select these parameters in product groups and products. |
Use evaluation parameters for bookings | Select and specify evaluation parameters for bookings. To add a parameter, click + and specify the following values:
You can uses these parameters to categorize bookings in the chart view. |
Specify the share that you want to sell in digital ad spaces in percent. This serves as a default value for new top level locations. The share specifies the amount of time when ads are played on all digital ad spaces. The rest of the time is used for general content. Note that you can later edit the percentage directly for players and locations. | |
Define also time at start and end date of a campaign | Select to specify not only a date but also a time when a campaign starts and ends. |
Use prices | Select to work with prices and to enable printing business proposals, order confirmations, and bills. Once you've select this option, you can specify the currency and local value-added tax (VAT). Note that if you don't select this option, you can't print business proposals, order confirmations, and bills. You can, however, create digital campaign and playback reports. |
Currency | Select your currency and specify the following settings:

VAT | Specify the local value-added tax (VAT) in percent. |
Agency discount | Specify the default agency discount in percent. Additionally, you can set up a default discount and agent discount for each agency client under DOOH clients. |

Select the spot group to which spots generated from bookings are added. You must select a spot group, otherwise you can't upload media files to bookings. |
- Click Save to save your changes.

Set DOOH user permissions
In the IXM Platform, you can give or deny user groups access to different areas to control which elements they can use and how. The same rights and restrictions apply to DOOH users. For example, DOOH users must have general read rights, if you want them to have access to certain categories, tags, or locations. Consider this, for example, if you want users to be able to select locations in a booking.
Note that location users can't use DOOH or any DOOH-related functionality in the IXM Platform. It’s not possible to enable DOOH for this user type. |
The DOOH permission system is based on the following groups:
- Permission group: controls who can use DOOH and at what level. Depending on the level, users can only see their own bookings, or see bookings of other users, or see and edit bookings of other users.
- DOOH user group: controls access to clients and bookings. Users can only manage specific clients and bookings if they are in the assigned user group.

Create a permission group
To create a new permission group with access to DOOH, perform the following steps:
- In the IXM Platform, go to Administration > Permissions > Permission groups.
- In the Permission group management pane, select New.
- In the Create new permission group window, switch to the DOOH tab.
- Select Enable.
- Specify the following settings:

Reset ordered bookings | Select to let users change the status of an ordered but not yet running booking back to reserved or cancel the booking. |

- Specify all other permission group settings as needed.
- Click on Save to save your changes.
Once you've set the permission group, you must create and assign DOOH user groups. |

Edit a permission group
To enable DOOH for existing permission groups, perform the following steps:
- In the IXM Platform, go to Administration > Permissions > Permission groups.
- In the Permission group management pane, find the permission group for which you want to enable DOOH.

- Select your permission group and click on Edit. Alternatively, double-click on the group.
- In the Edit permission group window, switch to the newly added DOOH tab.
- Specify the following settings:

Set DOOH user groups
In addition to assigning permissions, you must assign at least one DOOH user group to each DOOH user to determine which bookings and client they have access to. This means that if you assign the same user group to a user and a client, the user can manage the client and the bookings associated with that client.

- Click on New to create a new user group.
- Double-click on an existing user group to edit it.
- In the General tab, enter a name for your group.
- Select DOOH.

To convert an existing user group into a DOOH user group, perform the following steps:
- In the IXM Platform, go to Administration > Permissions > User groups.
- In the User group management pane, double-click on an existing user group to edit it.
- In the General tab, select DOOH.
- Click Save to save your changes.
You can now assign your DOOH user group to users. |

Assign DOOH user group
To assign a DOOH user group to a user, perform the following steps:
- In the IXM Platform, go to Administration > Permissions > User.
- In the User management pane, perform one of the following actions:
- Click on New to create a new user.
- Double-click on an existing user to edit them.
- In the General tab, drag and drop the DOOH user groups that you want to assign from Unassigned to Assigned.

Set DOOH locations
As an administrator, you must create ad spaces for DOOH in the location tree. These ad spaces can be digital or analog. However, you need to set up digital and analog ad spaces differently since an analog space doesn't require a player.
We recommended that you distinguish between groups of analog and digital ad spaces. |
It's important to select the right location tree structure for your ad spaces. Later, you'll assign the locations to DOOH products and bookings to specify in which part of the network booked media will be displayed. In addition, note that you don't select a specific player or screen in a booking. Instead, you must assign DOOH categories to select a group of screens with specific attributes. For example, you could create the category "near restaurants".
Set up ad spaces
To set up ad spaces, perform the following steps:
- In the IXM Platform, go to Channels > Location.
- In the Location pane, select a location.
- Continue in one of the following ways:
- To add a digital player, skip this step and continue with the next step.
- To add an analog player, double-click on your location, select the DOOH tab, and specify the Number of contacts. That is the average number of daily viewers, for example, in a store. Save your changes.

- In the Managing players pane, click New and select one of the following options:
- New Signage player
This option allows you to create a digital ad space or signage screen. You can connect one digital signage screen to one or two physical screens. If you have two screens, you can assign categories separately for each screen. To add a digital player, perform the following steps:

- New Analog player
This option allows you to create an analog ad space. We recommended that you set up a location for each selectable analog ad space and book them as a group. To add an analog player, perform the following steps:

Example: location with digital and analog ad spaces
In this example, you've created a location called Stadtplatz 5 in the city of Vienna. This location contains the following sub-locations and ad spaces:
- Digital Screens: a sub-location with two digital ad spaces or screens, assigned as signage players Corner and Main.
- Poster: a sub-location with one ad space which is an outdoor poster, assigned as analog player Poster.

Set DOOH categories
Use categories to enable targeted DOOH bookings. You can assign different categories to locations or screens and use them to select a subset of a network for specific bookings. For example, a category can be a type of location such as "pharmacies" or "gas stations" or surroundings like "city center". You can also use categories to specify target groups like "male".
Use DOOH categories
Which DOOH categories you create, depends on the individual setup and requirements of each DOOH client and booking. Take a look at the following examples to get an idea.
Once you've created your DOOH categories, you can use them in both analog and digital products when you specify their ad spaces, and to narrow down locations directly in a booking.
Example 1: use categories to specify locations and screens
You can use categories to specify digital and analog ad spaces. For example:
- All screens in Terminal 1 that are near restaurants.
- All screens in Geneva except in gas stations.
- All pharmacies in Berlin.
Example 2: work with analog and digital categories
In this example, you've created categories for analog and digital ad spaces based on the display type. You have, for example, an analog category for a common poster ad. In the digital categories, you have different screen formats like landscape or portrait.

Set DOOH notifications
As an admin, you can enable the IXM Platform to send notifications to the owner and additional sales person of a booking. They can be notified if a booking item changes from waiting list to reserved or if a booking item starts soon but has no media assigned.
By default, the system sends a news center message and an email. You can, however, change this in the news center settings.
The notification is sent in the preferred user language if possible and contains information on the booking item such as the booking ID, client, and start and end date. The IXM Platform generally creates the news center message within 30 minutes and the email within 24 hours.
Grassfish provides notification templates in English and German by default. If you need templates in other languages, please contact your Grassfish partner. |
Prerequisites
Before you set up automatic notifications, ensure that you read the following requirements:
- If you use an email blacklist, go to Administration> Addons > Blacklist Management and ensure that the recipients are not on it. Otherwise, the IXM Platform can't send an email notification.
- The IXM Platform news center must be enabled. Otherwise the IXM Platform can't send any notifications. The following setting in the master.config file must be set to true:

Enable status change notification
You can set up automatic notifications that are sent when a booking item switches from waiting list to reserved. You can notify the owner or sales person of the affected booking and, optionally, the additional sales person.

To set up the automatic booking state notifications, perform the following steps:
- In the IXM Platform, go to Administration > DOOH > DOOH system parameters.
- Under Booking workflow, enable Notify the sales person of a booking via the news center when a booking item switches from waiting list to reserved.
Enable the notification
- Switch to Administration > Permissions > User.
- Double-click on the user of the owner/sales person.
- Under E-mail, ensure that an email address is available or enter an email address. If there's no email address, the system can't send an email notification.
- Under Preferred language ensure that the language is set correctly. The notification text is sent in this language.
Check email address and language
- If you want to notify an additional sales person, check their email and language too.
- Click Save to save your changes.
